Split and merge documents before scanning

Having multiple types of documents bundled into one can be such a pain to segregate and organize, like two invoices, eight purchase orders, and a couple of delivery orders, all in a single file. Or maybe claims, hospital bills, outpatient receipts, settlement, and invoices, all in one

Every large enterprise, in every industry, faces challenges with bundled documents (Claims, Contracts, Financial statements, KYC docs...).

Sorting these manually is time-consuming and error-prone. Worry no more!

The Document Editor automates this process, allowing you to split, rename, and classify documents in just a few steps. Let me show you how to segregate and organize them just the way you want, before scanning.

How to setup a queue for document editor?

Step 1: Create a queue with required details

Step 2: Most important is to enable "Enable uplaoded documents tab". This enables the uploaded documents tab in the queue where documents can be uploaded.

Step 3: This is where you can upload the documents

Step 4: When you click and open the document, you will land on the document viewer page. Here, you can find the "Open in editor" icon on top. Click to open the document in editor.

Functionalities of Document editor

  • This is the document editor screen. On the left are documents uploaded in the "Uploaded" tab of the queue. On the right are the pages of the selected document
  • In the above screen, after selecting the documents, when you click on "Preview all", the preview screen will open on the right. (Refer to the image below).
  • In this screen you can do a lot of pre-processing work like rotate and flip
  • Also, the pre-processing can be done on a large scale on document level and multi document level. Here you can also make duplicates and delete, along with rotation and flipping.
  • There are multiple colour indicators in the document editor. If the document border is
    • Yellow: the page is in view mode, not selected
    • Blue: the page is selected and not in view mode. Central actions like moving, pre-processing can be done
  • The border turns violet when you right click the document to make changes
  • When the border turns yellow with a tick mark, then the document is both in view mode and as well selected
  • Once, the pre-processing work is done, we can split one document with several pages into multiple documents. There are multiple ways of doing it.
    • Custom ranges: To split the document into three, you can select the range to 3 and then enter the values of range according to the way you'dl ike to split the parent document.
  • Likewise, you can split using fixed ranges. Here, when the value is five, the document fill be split into 5 parts.
  • Instead, you can also create a new document by clicking the "Add document" button on the right corner and then move documents to the new document created by drag and drop and move functionalities
  • Or, Just select the documents and click on "create from selected". This would create a new document with all the selected documents.
  • We can perform all the above actions discussed, on a multi-document level too. You can notice that pages from two document are selected here. These can be merged together to form a separate document.
  • Pages can be moved between documents by two ways.
    • Either by moving only the selected pages to a specific document
    • or by moving all the documents to a specific page
  • Once, all the preprocessing. splitting and merging are done, it is time to move them to designated queues. Click confirm

  • There are two documents in this document editor now. Both needs to be cleared out to avoid any kind of duplication. Here, you can select queues and choose the tab into which these documents should be moved. Once, you click, move all, these document will be moved to the designated queues and these documents will be deleted from the parent queue and this document editor.
