Complete and export

1. Marking a document as complete

Once you are happy with all aspects of the data extraction, you can hit the “Complete” button, to mark a document as complete.If you wish to, you can also simply mark many documents complete at once by selecting many documents in the “Queues page” and then selecting the “Move to Complete” button.

2. Rejecting a document

If you are not satisfied with a document, you can reject it. The rejected document is then moved to the “rejected” tabTo reject a document, you have to open the document and look for the button named “Reject”. On clicking this button, a popup will appear asking the user to specify a reason for rejection. This reason will be displayed alongside the document. You can choose at least one reason for rejecting the document.

3. Exporting Data from Staple

After a document is moved to complete it may then be exported. This can be done by clicking on the actions button, or by checking the boxes on many documents and selecting “Export Extracted Data”. The options for exporting data are CSV, text and (if an account system is connected to the queue) to Xero.

4. Exporting Multiple Documents at once

The blank boxes present to the left of the document are for performing operations on multiple documents at the same time. Users can check the boxes present near the desired documents to export them at a go.Multiple files can be exported at once. If exported to a CSV file, the data will all be merged into a single master file.If due to some reasons a document is not exported, it will be moved to the “Failed to export” tab. The reason for the failed export will be mentioned in the table.

5. Configuring default export options and endpoints

Staple supports multiple formats to export the data. The collected data can be exported in file formats like .txt, .csv, .json, .xml. It can also be exported to the accounts that are linked with Xero and Concur. 

6. Exporting data from Scans

Staple supports scanned documents. Users can upload a scanned document in the same method and retrieve information from scanned documents. Once a scanned document is uploaded, it can be rescanned.

Rescanning can be done with pre-processing or without pre-processing. These buttons are present in the toolbar above the document.While exporting documents, you may encounter some errors if you are exporting to another system due to missing fields, expired authentication, or the export system being offline. These errors can be encountered while exporting to a third party app/websites (via API or apps like Concur, Xero, etc).

The list of failed documents can be seen on the queue status titled “Failed to Export”.

7. Moving documents

As well as moving documents between tabs, documents can also be moved between queues.This is done by checking the document, then selecting “Move to another Queue

The document can be moved to any queue that the user is able to view.

8. Preprocessing of Images and Scanning Documents Again

Staple has included an additional module of using its computer vision technology to extract the area in which the MRC, VIDs, Invoices or other desired documents are present, and keep only these areas. This means that using the interface is much easier as only the useful information should be present. Staple’s proprietary methods for image processing greatly improve the software's ability to process data.

Images which are sideways or upside down are also detected and extracted (and are automatically rotated). All images of the required document type (say, ID card) in a single uploaded file are combined to form a single, smaller and more manageable file. Miscellaneous images (such as web screenshots) are removed.

However,  this feature can be turned off if required. The user can choose to scan a document again using the “Scan again” option (which will include the preprocessing of images), or may turn off this by selecting “Scan again - no preprocessing”).

The file seen in the edit document page will then be the original file.
