Set comparison rules

  1. Rules for comparing data field-level data

The “Actions” column hosts the other actions that can be performed on the selected row.

The list icon under the “Actions” column sets the rule type. The rule type is for stating what data type should be matched. The various options are:

  • Letters only: This allows only letters to be matched
  • Digits only: This allows digits and numbers to be matched
  • Ignore caps: Capitalization of letters is ignored
  • Ignore special characters: Presence of special characters is ignored
  • Compare substring: Compares substring
  • Match field name against value: It matches the field names Field names and values against each other - instead of a direct value to value comparison.
  • Match amount: Matches the amounts/prices that have a difference less than the maximum difference set.
  • Match amount with rate: It helps in matching with converting the values. Used in conversion of currencies. See Advance matching rules for details

  1. Rules for specifically for comparing data in Tables:

As tables might have the order of the rows changed between different documents, this makes the comparison harder - but can also be handled by Staple. There are 2 options on how to align tables which might have items in different orders:

  • Sort table by ascending: This option opens up when we are matching a table field. It sorts the results in an ascending order of the selected columns. This will work when all tables are guaranteed to be of the same length.
  • Search matching: This is also for the table matching. This will search for the matching values using the columns selected, and reorder to other columns accordingly.

When viewing the results of table matching there are 3 views: Full match, Partial match and None match. Full match strictly matches the field data matching in ALL  of the rows and columns selected in the rules, while partial match shows results where any matched. None match allows the showing of all results.

  1. Advance matching rules

When the user selects the “Match amount with rate” option while setting the rule type, they are offered a table that helps the AI to calculate the desired range of data to look for. Users can set the same by clicking on the three dots that appear to the right of the option. For each queue there are three fields to be set.

  1. From field: This field represents the exchange-from unit.
  2. To field: This field represents the exchange-to unit.
  3. Rate: This field represents the exchange rate.
