How to upload documents into Staple AI?

After a queue has been created, we can start uploading documents to the queues. 

A. Direct upload:

This is the simplest way of uploading upto 50 documents at one shot into Staple AI.

Option 1: Click on the upload button on the top right corner to upload the file. Give it a few seconds per document to upload. These few seconds are acutally spent on data extraction using our in-house AI. Wait patiently until the “loading bar” is completed. 

Option 2: Drag documents from your computer and drop it to the specific queues to upload documents

B. Upload from different sources

We can connect a variety of third-party services to a specific queues. This means that files sent via these services can be automatically sent into this queue. Output account systems can also be connected to the queue, such as Xero and Quickbooks.

This is done by selecting the “Edit Queue” button, and then going to the “Integrations” tab.

The third-party applications that can be linked to the staple accounts are:

1. Dropbox integration

To sync documents from Dropbox, the user has to link the Dropbox account. When the button “Connect” is clicked, it redirects the user to a page to choose the account to be linked. Then the user has to provide permissions and choose the folder to be linked. A successful connection is established denoted by the message shown below.

Following this, the user has to upload the desired documents to the chosen folder of dropbox. These document/s will be reflected in the Staple AI account shortly.

Here’s is a step by step flow:

2. Google Drive integration:

Documents from Google Drive can be exported to Staple. For this, the user has to connect their account by clicking on the “Connect” button next to the Google Drive option. Then the user has to select the account they want to proceed with. Google will ask for the permissions that the user wants to grant. When a connection is established, a message will be displayed on the screen stating the account has been successfully linked.

Following this, the user has to upload the desired documents in the chosen folder of Google drive. These document/s will be reflected in the Staple account shortly.

3. WhatsApp/ WeChat integration:

To send documents from WhatsApp, the user has to link their phone number to the staple account. This can be done by entering their number in the pop-up shown after clicking on the view button. From this number, the users send their documents to +65 3138 5508 or +44 7401 258884. After some time, the documents will be reflected in the account.

4. Email integration:

Users can export documents via email to their staple account. There are two ways to connect email to Staple AI: 

  • A specific email id only can send documents to a specific queue: 

    First, click on the view button next to Email. Here, the user has to connect their email to the account from the given text input. After entering the email id, click on “ADD EMAIL”. From this email, the user can send an email at docs@staple.io.

  • Any email id can send documents to a specific queue:
    • Step 1: In the queues screen, go to “Settings” at the bottom left corner and choose email integration.

    • Step 2: In the email integration screen, some text: 

    • Choose a recipient address unique to your organisation/ document group
    • Add an extension to make the recipient address unique to the queue. Eg, “salesbill”
    • Then, select the queue you would like to map this address and click on “CONFIRM MAPPING”

In this example below, email from any email id sent to docs+salesbill@staple.io will be added in the “CustomerList” queue: 

5. API:

After a queue has been created, we can then send documents to this queue. This can be achieved via API. For API documentation, please refer to this page.

6. Xero integration:

sers can also export their data from Xero. after clicking on the “Connect” button, the page directs you to a login page. Once the account is logged in, the user can allow access to staple. This will establish a connection which will be acknowledged by the message shown below.

The desired documents from Xero will be linked to the Staple account.

Overview of errors, rejections and failures

Sometimes documents will fail to scan, or fail to scan correctly.

This may happen for a variety of reasons, however it is usually because either: a) the document file was of a low quality, b) the document was uploaded to the incorrect queue (with the wrong extraction being applied), or c) the document was too large.

In the case of a failure to scan: the probable reason for failure is shown in the Received Tab.

All documents which fail to scan are shown in the Received Tab. Staple is currently in the process of adding additional information to present this information.

For certain document types, such as identification cards, additional reasons for rejection specific to these documents have also been added. These include:

  • Bad quality. The image is overly pixelated or blurred. Staple detects this presently by seeing if any text is detected.
  • No text detected. No text was detected in the file uploaded.
  • File too small. This is for images which are 175KB or for documents.
  • File too large. This is for images which are above 4MB or for documents over 10 pages long.

Staple is also to examine the other possible tests:

  • Fake documents (upcoming). Ability to see if an image or document has been altered.
  • Sidecut and glare (upcoming). Presently Staple has not included the ability to test directly for cut corners and glare.

Staple can later implement cut-corner detection by extending the image preprocessing abilities at a later date subject to client requirements.
